Litter Free Upland Privacy Policy

Litter Free Upland is a program of Upland Acts of Service. This Privacy Policy explains how the Litter Free Upland mobile application (“App”) collects, uses, stores, and discloses information when people use the App to participate in volunteer cleanups, sign volunteer waivers, RSVP or check in to events, submit litter reports, track service activity, and use related program features.

1. Information We Collect

Depending on which features you use, the App may collect or store:

Contact and profile information, such as your name, phone number, optional email address, and optional profile photo.
Volunteer waiver information, including mailing address, emergency contact information, parent/guardian or minor information when applicable, acknowledgments, and signature information.
Volunteer activity information, including event RSVPs, event attendance, credited service hours, and personal impact history.
Photos and user-submitted content, including cleanup photos, group photos, litter-report photos, and notes you choose to submit.
Litter-report information, including the location or cross streets of reported litter, report notes, status, and Litter Free Upland’s response or resolution notes.
Location information when you affirmatively choose “Use Current Location” for a litter report or an authorized field-cleanup record. You may enter an address or cross streets instead. The App does not request continuous or background location access.
Authentication information used to protect access to certain features. The App may use Google sign-in for authorized administrators. The 4-digit My Impact PIN is stored on the user’s device as a salted hash; the plaintext PIN is not intentionally uploaded to the Litter Free Upland cloud database in the current release.
Local app information needed to keep you signed in or allow you to track your own submitted litter tickets. My Tickets uses a high-entropy access token stored on the submitting device, while the server stores a hashed lookup value.

2. How We Use Information

Operate and coordinate volunteer cleanup events.
Verify required volunteer waivers.
Manage RSVPs and event-day check-ins.
Record volunteer participation and service hours.
Provide My Impact and My Tickets.
Receive, review, investigate, and resolve community litter reports.
Contact or coordinate with volunteers when reasonably necessary to operate the program.
Document cleanup activity, program outcomes, and community impact.
Generate internal, grant, audit, operational, or program reports.
Protect the safety, security, and integrity of volunteers, administrators, the App, and the program.
Comply with applicable legal, insurance, audit, grant, or recordkeeping obligations.

3. Location Information

Location is collected only when a user or authorized administrator chooses a feature that uses location, such as “Use Current Location” for a litter report or field cleanup. The App may use device GPS coordinates to help Litter Free Upland locate reported litter or document where a cleanup occurred.

Users may enter an address or cross streets instead of using GPS where that option is available. The App does not request background location access and does not continuously track users.

4. Photos and Litter Reports

A person submitting a litter report may provide a photo, GPS location or cross streets/address, and notes. Litter Free Upland administrators may review the submission, add internal working notes, change its status, and close the report with information describing the action taken.

If the report is associated with a signed-in user’s My Tickets feature, that user may view the status of the report and Litter Free Upland’s response after the report is addressed.

Litter-report photos and private volunteer records are not intended to be publicly browsable through the App.

5. Service Providers and Disclosure

Litter Free Upland uses third-party service providers to operate the App. These may include:

Supabase for cloud database, authentication, and file-storage services.
Google authentication services for authorized administrator sign-in.
Android and iOS device services for functions such as location, geocoding, camera/photo selection, maps, and calendar integration.

These providers may process information as necessary to provide their services. Authorized Litter Free Upland administrators may access information needed to operate the program.

Litter Free Upland does not sell personal information collected through the App. The current release does not intentionally include advertising or third-party advertising SDKs.

Information may also be disclosed when reasonably necessary to comply with law, respond to lawful requests, protect safety or rights, investigate misuse, or address a security issue.

6. Data Storage and Security

Litter Free Upland uses reasonable administrative and technical safeguards intended to protect information. The App uses encrypted network connections and access controls provided by the mobile platform and service providers.

Access to administrative features is restricted to authorized administrators. Private files such as signed waivers and certain submitted photos are intended to be stored in access-controlled cloud storage.

No method of electronic storage or transmission can be guaranteed to be completely secure.

7. Data Retention

Litter Free Upland retains information for as long as reasonably necessary to operate the program and satisfy legitimate legal, safety, insurance, grant, audit, recordkeeping, or compliance needs.

Some records may need to be retained even after an account or data-deletion request. Examples may include signed volunteer waivers, safety or incident records, and operational service records needed to document volunteer activity or program reporting.

Information that is not required to be retained will be deleted or de-identified after a verified deletion request within a reasonable period.

8. Account and Data Deletion

Users may request deletion of their App profile/account and associated personal information.

By email: Send a request to litterfreeupland@gmail.com with the subject “Litter Free Upland data deletion request.” Include the phone number used with the App and describe the account or data you want deleted.

Litter Free Upland may take reasonable steps to verify that the request belongs to you before deleting personal information.

When an account is deleted, associated personal information will be deleted when retention is not required. Certain records may be retained for legitimate legal, safety, insurance, audit, grant, fraud-prevention, or compliance purposes as described above.

9. Children and Minors

The App is designed for community volunteer coordination and is not directed to children under 13 as a general consumer service. Youth participation in Litter Free Upland activities may be subject to parent or guardian supervision and the volunteer waiver requirements applicable to minors.

Litter Free Upland does not intentionally use the App to solicit personal information from children under 13 without appropriate parent or guardian involvement.

10. Your Choices

Depending on the feature, you may choose not to provide optional information. You may choose to enter cross streets or an address instead of using your device location. You may also request correction or deletion of personal information by contacting Litter Free Upland.

Some information may be required to use specific program features, such as a signed waiver before volunteering at an event.

11. Changes to This Privacy Policy

Litter Free Upland may update this Privacy Policy when App features, service providers, or data practices change. The Effective Date at the top of the policy will be updated when the policy changes materially.
